PRIVACY STATEMENT
Westdale Fencing Club Inc. (WFC) is committed to protecting your privacy. The following statement is intended to explain our data collection and usage policy. This privacy statement applies to any situation where private information is collected by WFC.
Collection of Your Personal Information
You may be asked to provide information that personally identifies you or allows us to contact you. Through your use of the WFC website, our registration processes, and through other means, WFC may also collect other personal information. This information is used only to ensure the proper access to WFC programs and services, and to ensure that in case of emergency, the coaches have the information they need to best support you.
Use of your Personal Information
We use your demographic and contact information to create your development plans, to assist in the purchase of memberships, licenses, and merchandise, to assist with registrations for external events, and to allow you to gain access to certain club programs and services. We also use your personal information to keep you informed of club services. This information may be viewed by any club staff
The health information you provide is used by coaches to determine whether any of our programs, classes or syllabi require adaptation to meet your needs, whether there any underlying medical conditions for which they should watch, and should there be any medical emergencies, whether there is any relevant information that needs to be passed on to treating healthcare providers. Your health information is only ever viewed by senior club staff and senior coaches.
Westdale Fencing Club Inc. will not share any personal information with third parties without your permission, other than if required to do so by law, or in a good faith belief that such disclosure is necessary to comply with the law, to protect your well being in the case of a medical emergency, or to prepare and defend the rights or property of the Westdale Fencing Club Inc..
It is understood that contact and demographic information may be shared with the Ontario Fencing Association and the Canadian Fencing Federation on your behalf in order to procure licenses and memberships, and for registration in provincial programs where registration is done on your behalf.
Storage of Information
Contact and demographic information is stored in an unlabelled binder at the club (which is kept in a locked cupboard), and also online (we use a commercial provider to store this information. Health information you provide is stored in hard copy only (we maintain no electronic copies of this information). This information is stored in a binder at the club (again, kept in locked storage).
Use of Photographs and Videotape
Westdale Fencing Club Inc. will not post on its website, or publish by any other means, any photographic image or videotaped image, of any member without permission of the individual. The signed waiver on accepting membership in the Westdale Fencing Club Inc., shall be deemed sufficient for this purpose, unless notice is received by the WFC, by electronic mail or written form, that such publication may not be made.
